PIE SCHOOL, INC.

Privacy Policy

Effective October 29, 2026

This policy describes how Pie School, Inc. handles personal information when families use our website, parent app, and online math homework club in the United States and Canada. Parents and guardians manage accounts; students participate in sessions. Our Terms of Service explain bookings and payments.

1. Information we collect

  • Parent and account information: phone number, authentication and consent records, notification preferences, and time zone. If you contact support, we receive your contact details and what you send us.
  • Student information: first name, grade, schedule, pod membership, invitations and responses, attendance, trial history, and saved session entitlements.
  • Payment information: billing country, payment-provider identifiers, payment status, charges, refunds, and payment authorization records. Stripe handles payment-method collection; our app does not collect full card numbers or card security codes.
  • Session information: homework shared during a session, questions, and live audio, video, or screen sharing participants choose to use. Other participants and the guide can see or hear what is shared. Live participation is different from recording; our recording rules are below.
  • Technical information: service providers may process IP addresses, browser or device information, and request or security logs to deliver and protect the service. Our marketing website uses device-language region to suggest US or Canadian pricing and local storage to remember your selection.

Please avoid sharing a student’s full name, school details, or unrelated personal information in homework, screen shares, or support messages.

2. How we use information

We use information to authenticate parents, organize compatible pods, manage bookings and attendance, deliver sessions, process authorized payments and refunds, send requested account communications, provide support, and prevent misuse. Optional recording uses require separate permission. We do not sell personal information or share mobile numbers or SMS opt-in information with third parties for their marketing or promotional purposes.

3. Children and parental choices

A parent or legal guardian must manage the account and authorize their child’s participation. We obtain the parental notices and verifiable consent required by applicable law before collecting covered children’s personal information; creating an account or accepting these pages alone is not a substitute for that process.

Parents may contact us to review their child’s information, request corrections or deletion, or stop further collection and use. We verify the requester’s authority before disclosing or deleting student information. We do not require optional recording or marketing permission to participate. If you withdraw permission for information needed to deliver sessions, we will explain which services can no longer be provided. We also respect students’ requests not to be recorded or featured.

4. Recording is off by default

We do not record sessions by default. Before recording, we require explicit written permission from every participating student’s parent or guardian. Assessment and marketing permissions are separate; permission for one does not authorize the other. Where additional consent verification is legally required, we complete it before recording or disclosure. We do not treat ordinary session participation as recording permission.

  • Assessment: recordings approved for assessment are used internally to assess learning or session quality. They are not published or used in promotions without separate marketing approval.
  • Marketing: before publication, we seek approval of the specific edited clip and intended channels, including whether paid promotion is included. Approval lasts two years from the recorded approval date, unless withdrawn sooner. At expiry we remove the clip from channels we control or obtain renewed permission.
  • Raw recordings: full session recordings are deleted when the approved assessment or clip preparation is complete, and within 90 days of recording. If approval of a clip is not obtained within that period, we delete the raw recording rather than retain it indefinitely.

All identifiable students in an approved clip must have the necessary permission. Recording and clip permissions do not authorize unrelated uses.

5. Withdrawing recording permission

Email rahil@pie.school to withdraw assessment or marketing permission. We stop new uses and paid promotion promptly and remove the affected recording or clip from our active files, website, and social accounts we control within 30 days, unless a specific legal obligation requires restricted retention. Withdrawal does not affect your child’s ability to attend unrecorded sessions.

Public posts can be copied, downloaded, cached, or independently shared. We cannot guarantee removal of copies held by others or search engines. We explain this before marketing approval; it does not excuse leaving our own posts online. We request removal from contractors or partners acting for us. We retain only the permission or withdrawal records reasonably needed to document the authorization and our response, separately from the footage.

6. Service providers and other recipients

We use Stripe for payments, Twilio for phone verification and messaging, Google Meet for online sessions, and Render for the hosted parent app, backend, and database. The marketing-site hosting provider also processes requests to deliver the website. Providers receive information needed for their role and may process it under their own privacy terms. For example, Google Meet processes live meeting media and Stripe processes payment details.

Guides access information necessary to run sessions. Pod participants see what is shared in their session. Approved marketing clips are disclosed to the public and the platforms specifically authorized in the clip approval. We may also disclose information where legally required or necessary to address fraud, security incidents, or protection of participants, subject to applicable law.

7. SMS and support communications

Phone sign-in sends a requested verification code. Optional recurring notification texts require a separate opt-in and may include invitations, confirmations, reminders, meeting links, schedule changes, cancellations, and payment alerts. Sign-in is not consent to promotional texts. We do not use this notification program for advertising.

Message frequency varies with account activity; message and data rates may apply. Reply STOP to opt out of notification texts. Contact rahil@pie.school for help. Opting out of messages does not itself cancel a booking or subscription; manage those in the app. SMS providers process recipient numbers, message content, delivery information, and opt-out records to operate the program.

8. Retention, deletion, and security

We keep information only for the purpose for which it is needed, such as operating an active account, honoring unused paid sessions, completing payments and refunds, meeting legal obligations, or documenting consent. We do not keep children’s information indefinitely because it might be useful. The recording and marketing deadlines above apply to those materials.

After an account closes or a deletion request is verified, we delete or de-identify information no longer needed and explain any records retained for a specific legal or financial purpose. Backup copies may remain temporarily until their normal expiry and are not used for ordinary operations. If restored, applicable deletion requests must be reapplied. We use reasonable safeguards and limit access, but cannot promise that any internet service is completely secure.

9. US and Canadian families

Pie School is based in the United States. Information may be processed in the United States and other countries where our providers operate, whose laws may differ from those in your location. Contact us about access, correction, deletion, withdrawal of consent, or concerns about our handling of information. We respond in accordance with applicable law, explain any limits or exceptions, and preserve your right to contact your privacy regulator.

10. Policy changes

We will date material updates and give appropriate notice. Where a new use or disclosure requires consent, we obtain it before that use; publishing an updated policy does not by itself expand recording or marketing permission.
